Administrative Secretary / Treasurer

ADMINISTRATIVE
SECRETARY/TREASURER:
Greene
Township,
Beaver
County,
located at 262 Pittsburgh Grade Rd., Hookstown PA, is seeking
an experienced
office
professional.


Duties include:  

  • Manage accounts receivable, prepare deposits and maintain all financial accounts including the general fund, all other township accounts and petty cash
  • Manage accounts payable, including payroll, and maintain all financial accounts including the general fund, all other township accounts and petty cash
  • Maintain records of purchase orders / statements of work, invoices and payments
  • Prepare the annual township budget
  • Solicit bids or participate in a bidding process with other townships
  • Prepare contracts for supervisors’ approval when needed
  • Procure goods and services
  • Support annual township processes such as audits with files and reports
  • Handle all inbound physical mail, phone calls / voicemails, emails and website inquiries based on agreed upon response times and route if needed
  • Create and publish an agenda and supporting reports for the monthly board of supervisors meeting
  • Take meeting minutes at Board of Supervisors monthly meetings, publish them, assign action items and manage follow-up. As well as any other meeting requested from the Board.
  • Conduct research or follow-up correspondence for the supervisors to support decision making or to prepare for meetings
  • Maintain the township website where residents can access information, forms and relevant links
  • Create and distribute a township newsletter to proactively inform residents of relevant information and announcements
  • Manage a filing system for all township files with appropriate access and data retention
  • Attend classes and seminars to maintain and grow knowledge
  • All other duties as assigned
    Minimum job qualifications
  • Excellent verbal and written communication skills
  • Strong customer service skills
  • Technical fluency in Microsoft 365, Windows OS and data visualization platforms to drive comprehensive financial reporting
  • Ability to leverage modern technology including AI-assisted productivity tools and workflow automation, to optimize administrative efficiency
  • Excellent organizational skills
  • 2- or 4-year certificate or degree in business, accounting, finance, administration, communications or secretarial preferred
  • Minimum 5 years of secretarial or treasurer job experience preferred
  • Knowledge of public sector processes such as township codes and ordinances preferred
